The meeting was called to order by Ms Abel at 6:40 PM.

August minutes:

The minutes were distributed and discussed. Ms. Perry moved and Ms. Longinotti seconded that the minutes be accepted as submitted. The motion was approved.

Treasurer’s Report:

Ms. Phelps reviewed her report for the period. The report was accepted as submitted.

Membership:

No formal report at this time. It was noted that dues notices will start in October. Ms. Ward briefly noted the process she used last time. She will assist in providing documents to Ms. Phelps. It was recommended that return envelope be sent with first notice. It does not need to be stamped.

Nominating Committee:

Ms. Abel reviewed the report submitted by the Nominating Committee. She will call for nominations from the floor in November.

Old Business

CGC classes are completed and testing was performed on 8 dogs, all successful. Also, one trick dog test was performed with successful result. All club members who participated were thanked.

Ms. Gaut raised the issue discussed at the last meeting regarding working on obedience and rally trials with ASCA. She will work with Ms Friebus to see if a proposal for a combined approach can be recommended.

Minutes: Correction to the July minutes was offered: Kathy Gaut stated that she was present at the July meeting but did not sign the sign-in sheet. Motion by Lucille Perry to approve the July General Meeting minutes with the correction. Seconded by Sybil Longinotti. Carried.

Treasurer’s report: Treasurer Kathy Phelps gave the Treasurer’s report; the report was filed for Audit.

COMMITTEES
Show: Show Chairperson Carolyn Strunge reported that the show made a profit for the Club and reminded everyone that expenses for Judges will be much higher next year so the expected profit will be reduced significantly.

CGC Classes: Today’s class had to be cancelled due to wildfire smoke in the area. It is hoped that next week’s class will not have to be cancelled. Since there seems to be wildfire smoke in the area during August of most years, it was suggested that classes be moved to the Spring before the fires would start contaminating the air. April or early May were suggested so classes wouldn’t conflict with the Show weekend in June.

Nominating Committee: Mary Ward volunteered to be the Board representative; Karen Cooper also volunteered to serve. One more volunteer is needed. Secretary will send another email to the membership asking for another volunteer.

Obedience and Rally trials: It was suggested that the Club host an Obedience and Rally trial separate from the Conformation show. To attract entries, an indoor or outdoor covered, groomed surface, such as a horse riding arena, is desirable. The Club will consider hosting a trial if someone will volunteer to locate an appropriate venue, plan the event, and get volunteers to staff it.

Show Chairperson Carolyn Strunge thanked everyone who helped make the show a success and reported that the show made a profit for the Club.

Carolyn Strunge has been appointed by President Lorain Abel as Show Chairperson for 2022.

There was a detailed discussion of the show with comments and suggestions for 2022. Written feedback was collected by Carolyn Strunge.

COMMITTEES
SHOW:

  • It was suggested to state in the premium next year that there is no cell service at the park so handlers will know this in advance.

  • Masks will be required around the rings and where social distancing is not possible. Because of the outdoor setting, no problems are anticipated.

  • Friday setup is scheduled to start at 11:00AM.

  • A sign will be placed at the park entrance, stating that the park is closed to the public and no spectators are allowed due to COVID restrictions.

  • Lorain Abel will pick up the hospitality food and bring it to the park.

  • Stewards and parking attendants have been secured.

  • Jim Ball can bring three trash cans. It was a suggested that a labeled bin for recyclables be provided.

  • The National Anthem will be played on a cellphone with an amplifier.

  • Judging each day will start at 8:00 AM sharp.

  • Sunday’s show should be done by 5:30 PM, at which time tear down will start.

  • There will be ‘Great Bait’ for sale.

  • Happy Father’s Day flags will be posted around the grounds.

July Picnic and Club Meeting:

  • The Picnic pavilion at Tom Pearce Park is reserved.

  • Even if the state COVID restrictions are lifted by the Picnic date, Josephine County has a lower vaccination compliance rate than the state average. To be on the safer side, it was decided to have everyone bring their own picnic food and drink.

  • The start time will be 5:30PM – 6:00PM.

  • There is a $5 park fee for vehicles without a yearly Josephine County Parks parking pass.

Nominating Committee: The Committee will be needed to develop a slate of nominees for Club Officers and At-Large Board Members for 2022.

CGC classes and test: It was decided to schedule the Club’s free CGC classes on Wednesdays, August 11, 18, and 25, with the test on Wednesday September 1st. Sign-ups will start at 5:00PM and classes will run from 6:00PM – 7:00PM. The drop-in hours for the test will be determined and announced at a later date. Previously, the classes and test have been held at Riverside Park.

Showsight Magazine article: Lucille Perry was asked to write an article for Showsight Magazine and she submitted the article. Anyone interested in seeing the article should look for it.

Scam of the Day: Beware of emails appearing to be from someone familiar to you asking you to buy gift cards. If you receive a suspicious email either delete it or check with the apparent sender by telephone. Do not reply to the email without verifying its veracity.

 

COMMITTEES
SHOW:

Entries: Show Chairperson Carolyn Strunge reported that after entries being open for just 3 days, there are already 180 entries for each of the three shows which is very encouraging.

RV Parking: Two dozen reservations have been received.

Vendors: No vendors would agree to come to the show. Dutch Brothers will be approached.

Ribbons: General donations for the ribbons and rosettes will be taken instead of individual donations to support a particular award.

Hospitality: Food has been arranged for.

Setup: Setup will start about noon Friday or perhaps earlier. The equipment is stored in several different places and will need to be transported to the site.

Equipment needed: Tables are needed for many uses, such as ring tables, ribbons, COVID check-in, etc. Chairs will be needed. Secretary will send an email to the membership to ascertain how many tables and chairs members can lend for use at the Show.

COVID regulations compliance at the Show: There will be a table to collect waivers and hand out wristbands. There will be hand sanitizer.

Rings: It is planned for there to be 5 rings set up although there is equipment to set up an additional ring if needed.

Upcoming Club Meetings: Last-minute Show details will be addressed at the June meeting. The July meeting is the picnic so the picnic shelter at Tom Pearce Park will be reserved for July 14th, the usual General meeting date. It is unknown if the COVID restrictions at the time will allow food sharing so announcements will be made closer to the date.

RVKC Club Awards: Awards Chairperson, Melanie Seepol, announced and handed out the awards to the members present. Congratulations everyone!

COMMITTEES

RVKC Club Awards: Awards are complete and ready to be presented. After discussion, it was decided to present the awards at the in-person May general meeting. The meeting will be held either outdoors in the Park or indoors at the Grange depending on the weather and COVID restrictions at the time.

Show:

  • Indian Mary Park: The ability to go forward with the June Shows looks more positive now. An Indian Mary Park official has informed Show Chairperson Carolyn Strunge that the Park will not cancel the June show regardless of the County COVID threat level at the time. In addition, the Park will not set attendance limits. The Show is considered a private event since it is by invitation only and no spectators will be allowed. Local COVID precautions must be adhered to. Laura Reeves will consult with the Josephine County Vaccine Coordinator for the proper anti-COVID protocols for the Show.

  • Show cancellation deadline date: The Club will incur substantial expenses to MBF when the Show Premium goes out on April 28th. If necessary, the Show needs to be cancelled before that date. The Show Committee plans to meet April 26th for the final decision.

The meeting was called to order at 6:05 by Lorain Abel.

Minutes: Motion by Karen Cooper to approve the Minutes from the February General meeting. Seconded by Sybil Longinotti. Carried.

COMMITTEES

Show: There was a general update from Carolyn Strunge regarding show business. Everything is on track and pending review of whether we will be able to have the show due to Covid restrictions. Karen Cooper reported that there are plans to have a training for stewards and encouraged everyone who is interested in participating contact her. It was noted that if club members can perform the roles, expenses of hiring additional stewards will be minimized.

Budget: The 2021 draft budget was sent to club members prior to the meeting for review and drafting of questions. Lorain Abel reported that the Board had reviewed the documents in detail and are recommending member approval. By general vote, the budget was approved as presented.

Meeting location: Colleen Douglas reported that she is checking with the Fruitdale Grange to see whether in person meetings may be held again at that location. Options will be presented as they become available. There was a general discussion of virtual vs in person meetings.

Awards: Melanie Seepol stated that the awards are close to being distributed and asked for ideas about distribution. There was a general discussion of distribution and the consensus was that it would be best to distribute them in person, if possible. This is pending whether the members can meet in person at the Grange.

General: Myrna Rafalovich wished to thank all of the club members who helped her with her litter around Christmas. It really helped her and her pups and made the whelping possible. All pups are healthy and growing.

  • The Treasurer’s report was filed for Audit.

  • Audit: The Audit Committee’s report was emailed to the membership prior to this meeting. There was no discussion.

  • Budget: The Board will review the 2021 Budget at the March Board meeting. It will be presented to the membership at the March general meeting.

COMMITTEES

2021 Committees:
RVKC Club Awards: It was decided to print a list of awards winners instead of printing a program since it is not possible to have an Awards luncheon this year. Whether the AKC includes a ‘V’ in the title for virtual titles will be verified. Rachel will start work on the awards bars next week.


Membership Directories: The Directory information is on the Members Only page of the website for viewing. Two additional versions also are available for download. Thirteen Directories were printed for members who had requested them. They will be mailed soon.

Show: Everything is on track. The Premium has been submitted to MBF.


Programs: Lucille Perry has arranged for a Zoom program for the April 14th general meeting. Members knowing anyone who would like to give a Zoom presentation of interest to the membership please let Lorain know. Laura Reeves volunteered to give one or possibly several Zoom programs from her Pure Dog Talk podcast. Date(s) and subject(s) will be determined at a later date.

Membership Application: An application for a household membership from Kathleen Maris and Tim Rollins was read (second reading). A vote was taken and Kathleen and Tim were voted into membership. Welcome!

Conformation Ring Steward Training: Kathy Gaut and Laura Reeves have volunteered to train ring stewards. A date closer to the show will be arranged, maybe in March.

Upcoming Event: Laura Reeves announced that her Pure Dog Talk Podcast is putting on an event on the weekend of March 6 & 7, 2021. It originally was going to be in conjunction with RVKC’s Pat Hastings Seminar which was cancelled due to COVID restrictions. RVKC
Club Awards: Awards applications have been emailed to members. Chairperson Melanie Seepol will prepare a message for the Secretary to email to the membership encouraging members to vote for RVKC Member of the Year and Sportsperson of the Year even it they are not applying for an award. It is unlikely that an Awards banquet will be possible due to COVID restrictions. Therefore, another method of presenting the awards will have to be decided upon.

Audit and Budget: The Audit committee will meet soon so that the Budget committee may prepare the 2021 Budget for presentation to the membership at the February or March General meeting.

Donations: It was decided to wait and see if we can put on a show before we commit to the usual amount of donations. Donations may be made on a case-by-case basis.

Membership: The directory is ready and a link to download it will be placed on the Members Only page of the website. Members wanting paper copies should let Membership Chairperson Colleen Douglas know ASAP. Secretary will send an email to the membership advising of this.

Voting at a Zoom meeting: It was decided that members will send the Secretary their votes via the Zoom chat/text function, which will be in secret. Votes then will be tallied by the Secretary.

Show: All judges have been contracted. The Club’s Judging cost for the planned three shows will be less that the Judging cost for two shows in 2019.

Deadlines for incurring show related costs:

  • MBF: February 10, 2021 is the date MBF will start work on the Premium. The cost will be $700 for up to 20 pages. MBF suggested that costs could be reduced by sending out the Premium only electronically. MBF can electronically send out 3000 copies for $240. Payment would be required when the Premium is ready to distribute.

  • Indian Mary Park: The Park must be paid in May, 30 days in advance of the show. The current COVID risk level is Extreme. The Lower level (Green) would limit the occupancy of the Park to a maximum of 300 people. We will not know what restrictions will be in place until closer to the Show date.

  • The Board recommended authorizing the $700 expenditure to MBF in February to keep open the possibility of being able to conduct the show. Motion by Karen Cooper for the Club to pay MBF $700 in February to start work on the Premium in order to keep the Club’s options open. Seconded by Satania Korpi. Carried.

OLD BUSINESS

AKC Delegate: Paul Bodeving reported that the Delegates meet via Zoom. When in-person meetings resume he is not sure he will be able to travel to the meetings.

RVKC Constitution and Bylaws:

  • The Constitution and Bylaws were last updated in 2013. After discussion, it was generally agreed that updating, including more flexibility in meeting and voting remotely, is needed. Mary Ward has examples of other Clubs’ updated bylaws that were approved by AKC to use as a guide. Mary is working on a draft.

  • Not all sections will need updating.

  • The Standing Rules will remain the same.
