RVKC General Meeting Minutes October 14, 2020
Location:
Fruitdale Grange

Members in attendance: Colleen Douglas, Lucille Perry, Cherie Ball, Lorain Abel, Mary Ward, Rick Ward, Carolyn Strunge, Karen Cooper, Sharon Watson, Sybil Longinotti, Tom Brown, Shari Friebus, Gwynne Gulliford.
Guests: Kathy Gaut, Satania Korpi, Robert Korpi

6:01 pm Meeting called to order by President Lorain Abel.

Minutes: Motion by Lucille Perry to approve the August General Meeting minutes. There was no meeting in September due to the wildfire smoke. Seconded by Colleen Douglas. Carried

Treasurer’s report: Treasurer’s report filed for Audit. Pop-ups and ring equipment for our shows have been purchased. Insurance premiums for 2021 have been paid.

Membership Application: An application for membership from Kathy Gaut was read (second reading). A secret ballot vote was taken and Kathy was voted into membership. Welcome, Kathy!

Club Dues: The first dues reminder has been sent to the Membership. Payments are due by November 30th but can be accepted late until December 31st. After December 31st, the membership will have lapsed. Anyone wishing to reinstate their membership would have to wait 6 months to re-apply. Treasurer Mary Ward accepted dues payments from members at this meeting. Members were reminded to update contact information.

Handling classes: The usual indoor location of the classes, the OSU Auditorium, has cleaning requirements after each event that are not practical for Handling classes. Therefore, classes are canceled for the foreseeable future but may resume if another site can be found or if conditions improve.

COMMITTEE REPORTS

Nominating Committee Report: The Committee’s list of nominees for 2021:
President: Lorain Abel
Vice President: Mary Ward
Treasurer: Kathy Phelps
Secretary: Cherie Ball

Board of Directors at large: Colleen Douglas, Carolyn Strunge, Sharon Watson, Vanessa James, Sandy Mazurek.

Christmas Party: The Club will have to decide what we will do for the December Holiday party. A decision will be made in November since the COVID situation is subject to change.

Show: Everything is on track. Approvals have been secured, rings and pop-up canopies have been purchased, and only one additional judge is needed. If the COVID situation demands it, the Park can be canceled up to one month in advance of the date. Show Superintendent, MBF, would need to be canceled in February, before they start to incur expenses billable to the Club.

Awards: Melanie Seepol volunteered to manage the Awards for 2020. She will need a volunteer to help. Award applications will be sent out. The COVID situation at the time will determine if there can be a luncheon, or whether some other kind of event can be scheduled.

AKC Temperament testing: President Lorain Abel suggested that a mock AKC Temperament test event be held using Club members’ dogs for the Club’s CGC/Temperament evaluators. After discussion, it was suggested that two evaluators and two rings could be active simultaneously, thereby allowing dogs that achieve qualifying scores to obtain an AKC title. Hopefully, conditions in the Spring will be favorable.

Photo shoot opportunity: Mary Fish Arango, a local agility instructor and professional photographer, would like to photograph dogs that are good representatives of their breed. A notice will be sent to the Membership to determine whether any RVKC members are interested in having their dogs photographed. Mary submits photos for sale to calendars and catalogs and gives free digital files of photographs to owners who bring their dogs.

6:49pm. Motion by Tom Brown to adjourn. Seconded by Lucille Perry. Meeting adjourned.

Brags and Cries: Brags and Cries were heard.

Respectfully Submitted,
Cherie Ball
RVKC Secretary

RVKC General Meeting Minutes August 12, 2020
Location: Riverside Park

Members in attendance: Colleen Douglas, Lucille Perry, Cherie Ball, Jim Ball, Lorain Abel, Mary Ward, Rick Ward, Carolyn Strunge, Karen Cooper, Sharon Watson, Sybil Longinotti, Vi Brown, Tom Brown, Sandy Mazurek, Michelle O’Brien, Michelle Santana, Shari Friebus
Guests: Shelby Miller, Satania Korpi, Robert Korpi

6:00 pm Meeting called to order by President Lorain Abel.

Guests: Guests were introduced and members introduced themselves.

Minutes: Motion by Colleen Douglas to approve the July General Meeting minutes. Seconded by Jim Ball. Carried

Treasurer’s report: Treasurer’s report filed for Audit. Ring equipment for our shows has been acquired. Additional EZ-ups have been purchased so there will be 2 EZ-ups per ring. Mary Ward has been researching a replacement insurance policy since the current provider will no longer cover activities, such as Canine Good Citizen classes, where the public is allowed to bring their dogs. It seems clear also that the new policy will be more expensive than the current policy. Members who have any input or questions about ‘social networking’ or ‘telecommunications’ insurance coverage are asked to please contact Mary Ward.

Membership Application: An application for membership from Shelby Miller was read (second reading). A secret ballot vote was taken and Shelby was voted into membership. Welcome, Shelby!

COMMITTEE REPORTS

Pat Hastings Seminar: The advertising flyer and website are almost ready. Copies of receipts from website registrations will be emailed to registrants, Sybil Longinotti, and the RVKC inbox for the Treasurer’s records.

Nominating Committee: Sandy Mazurek is Chairperson. Michelle O’Brien and Lucille Perry volunteered to serve on the Committee.

RVKC Show: The applications have been submitted to AKC and fees paid. Four Judges are under contract and one more judge has committed but the contract has not been signed yet. MBF Show Superintendent has been contracted to provide a minimal level of service. The Conformation Show will be June 19th and 20th, 2021. Obedience and Rally will not be offered at the Show for a variety of reasons including that few dogs qualified at the previous outdoor Show. The Show will be a 3-show weekend, and the Club will be performing many tasks previously done by the Show Superintendent. RVKC does not in any way mean to neglect Obedience and Rally. It may be possible to offer separate Obedience and Rally events indoors at another time.

Brags and Cries: Brags and Cries were heard.

6:40pm. Motion by Lucille Perry to adjourn. Seconded by Shari Friebus. Meeting adjourned.

Respectfully Submitted,
Cherie Ball
RVKC Secretary

COMMITTEE REPORTS

Handling class: Handling class in the park the evening of July 7 went well. There were 5 RVKC members’ dogs. Everyone wore masks and there was social distancing and hand sanitizer.

Seminar: Michelle O’Brien passed around a draft of the advertising flyer that was sent to Pat Hastings for approval. 20 registrants will be necessary for RVKC to break even. Advertising will be circulated in Washington, Oregon, California and Nevada. Pat Hastings also has a list of people to send the flyer to. Sybil Longinotti is managing event Hospitality.

OLD BUSINESS

Note: Southern Oregon Kennel Club has cancelled their November 2020 show.

RVKC Show date: Show Chair Carolyn Strunge presented details regarding changing the RVKC annual show date. The proposal had been emailed to all members during the preceding week. Questions were answered and there was discussion.

  • Modification of AKC Rules regarding the number of dog shows per weekend: AKC now allows Clubs to have 3 shows on a weekend, provided that the location is at least 500 miles from another show occurring on that weekend. There is a limit on entries for each show of a 3 show weekend. Donner Trail, which is 300 miles from RVKC, has their Shows on RVKC’s current Show weekend. Consequently, RVKC cannot have 3 shows that weekend.

  • Show date: The Show Committee and the Board concluded that, in order to operate profitably, RVKC needed to have three shows on our Show weekend as allowed by new AKC rules. Because of AKC’s distance rules, RVKC cannot have three shows on our current weekend. During consultations with AKC, Carolyn Strunge and AKC determined that the third week of June, week 24, would meet AKC’s requirements. Sometimes this would be Father’s Day weekend. Even though reserving the park is more expensive in June, the Show Committee is optimistic that RVKC can still make money on the shows.

  • Show date in relation to other shows: The Woofstock show in Vallejo, CA occurs on the previous weekend, and the Canby show occurs on the following weekend. This has the potential to attract more entries to a show in southern Oregon.

  • Concurrent Obedience and Rally trials: Obedience and Rally entries were low in 2019 and few dogs qualified. The Board and Show Committee concluded that Obedience and Rally trials should not be offered at the June, 2021 show. Alternatively, they may be offered at a separate indoor event at a later date.

  • Vote: The Show Committee and the RVKC Board have approved changing to the new date. A membership vote is necessary to change the date. Motion by Lucille Perry to move the date of the RVKC annual conformation shows to the 24th week of the AKC corresponding dates calendar in order to have 3 shows on the weekend. Seconded by Colleen Douglas. Carried unanimously by all of the members present.

NEW BUSINESS

RVKC July General meeting and annual picnic: When RVKC arrived at the site, it was discovered that the Park personnel gave our reserved, prepaid, picnic shelter to a large group who already had an event in progress. RVKC’s picnic and Meeting was moved to an open space on the grass, with members using their own chairs. Colleen Douglas will contact the Park about a refund.

August RVKC meetings: The August RVKC Board and General meetings will be held at Riverside Park.

6:43 pm. Meeting adjourned.

Respectfully Submitted,
Cherie Ball
RVKC Secretary

RVKC General Meeting Minutes June 10, 2020
Location: Riverside Park

Members in attendance: Colleen Douglas, Lucille Perry, Cherie Ball, Jim Ball, Lorain Abel, Carolyn Strunge, Karen Cooper, Sharon Watson, Shari Friebus, Sybil Longinotti, Vi Brown, Tom Brown, Gwynne Gulliford, Sandy Mazurek, Michelle O’Brien, Michelle Santana (15 voting members present)
Guests: Kathy Gaut, Shelby Miller

6:00 pm Meeting called to order by President Lorain Abel.

Minutes: Motion by Colleen Douglas to approve the March General Meeting minutes. Seconded by Sybil Longinotti. Carried.

Treasurer’s report: Treasurer’s written report presented by President Lorain Abel and filed for Audit. The 2020 Show was cancelled due to the State mandate restricting large gatherings due to the coronavirus. The Club did not lose any money on the 2020 Show since it was cancelled in time to get all the deposits back.

COMMITTEE REPORTS
Seminar: RVKC will present a one day seminar in 2021. Michelle O’Brien and Sybil Longinotti are the Chairpersons.

  • Presenter and Subject: Pat Hastings will present the seminar on canine structure.

  • Date: The April 10th date that had been presented to the Board meeting was found to be not acceptable because the Chintimini KC Show is scheduled for that weekend. After consulting with Pat and additional discussion, a new date of March 6th, 2021 was approved. A contract with the Fairgrounds for renting the Floral Building is being finalized.

  • Advertising: Advertising flyers will be designed and distributed.

  • Veterinarian: An annual continuing education program for veterinarians is being presented in Corvallis the weekend of March 6th and many Oregon veterinarians will be attending it. After discussion, attempting to arrange for a retired veterinarian to assist with the seminar was suggested.

OLD BUSINESS
Show:

  • Modification of AKC Rules on the number of dog shows per weekend: AKC now allows Clubs to have 3 shows on a weekend, provided that the location is at least 500 miles from another show occurring on that weekend. There is a limit on entries for each show of a 3 show weekend. Donner Trail, which is 300 miles from RVKC, has their Shows on RVKC’s current Show weekend. Consequently, RVKC cannot have 3 shows that weekend.

  • Show date: The following weekend is an option for RVKC, because there are no other shows within 500 miles. However, this would schedule the RVKC Show on the last weekend of September, increasing the chance of the weather as a negative factor for an outdoor Show. The question of whether to change RVKC’s weekend to the following week to allow RVKC to run 3 shows, or to leave it on the same weekend and stay with 2 shows, will be discussed at the July membership meeting. A consensus was reached that RVKC needs to establish a regular, predictable date to attract entries.

  • Obedience and Rally trials: The issue of continuing to have Obedience and Rally trials in addition to the Conformation shows was discussed. Obedience and Rally entries were low in 2019 and few dogs qualified. The reduced popularity of outdoor settings to potential Obedience and Rally entrants, and whether RVKC’s focus should be confined to the Conformation Shows, was discussed. These issues will be discussed with the Membership after a Show date is finalized.

Applications for Membership: An application for membership from Kathy Gaut was read. (first reading)

NEW BUSINESS:
RVKC July General meeting and annual picnic: The July meeting will be July 8th starting at 6:00pm at Tom Pearce Park in and around the picnic shelter. The usual picnic will be changed to adhere to the State coronavirus regulations regarding gatherings that are in force at the time. The Club will not provide food or drink. Attendees may bring their own picnic food and drink. There are many picnic tables in the shelter with room to social distance. There will be no Program, but future Shows will be discussed. There is a $5 per vehicle Park fee unless the vehicle displays an annual County Park pass.

RVKC Officers and Board:

  • Nominating committee: The Board must appoint a nominating committee for the 2021 Officers and At-Large Board members in September.

  • Office of President: Lorain Abel reminded us that 2020 is the second year of her two year commitment to serve as President; therefore, a new President will need to be elected for 2021. Lorain stated that she would consider remaining as President for a third term, if and only if she has a Vice President who will take over as President for the following year, 2022.

RVKC Awards for 2019: Because the March Awards luncheon was cancelled due to the coronavirus, Awards Chairperson Melanie Seepol distributed the Awards for 2019. Member of the Year is Mary Ward. Sportsperson of the Year is Lorain Abel.

Membership: RVKC’s aging membership and what it might mean for the Club’s future was discussed.

CGC test: The potential for conducting a CGC test at the St Bernard Specialty in September was discussed. Tom and Vi Brown, members of the St Bernard Club, volunteered to discuss this subject with the St Bernard Club.

Lifetime Membership: In March the Board unanimously and enthusiastically voted to award Lucille Perry with a Lifetime Membership for all of the work she has done for the Club over many years. Lorain awarded her an engraved plaque. Congratulations and thank you, Lucille!

7:00 pm. Meeting adjourned.

Respectfully Submitted,
Cherie Ball
RVKC Secretary

The speaker is Pat Hastings and she charges $1000 a day. The Fruitdale Grange is available on that day and will charge $20.00 for that day. The Grange holds 184 people. Colleen Douglas will work with the Grange and will check people in. Rick and Mary Ward will help. Michelle O’Brien will head this project and Sybil Longinotti will be co-chair. Guests: Diana Orler, Mikki Bird

6:00 pm Meeting called to order by President Lorain Abel.

Minutes: Motion by Colleen Douglas to approve the January General Meeting minutes. Seconded by Sybil Longinotti. Carried.

Treasurer’s report: Treasurer’s report filed for Audit.

Program: Monti Craig presented an interesting program about Norwich Terriers. Monti brought 3 of her dogs to show to the audience.

COMMITTEE REPORTS

Audit: The Audit has been completed.

Budget: The budget Committee is scheduled to meet soon. The Committee will have the 2020 Budget ready to present at the March Board and General meetings.

Awards:

  • The Awards luncheon is scheduled for March 29, 2020, at the Taprock Restaurant. A contract must be signed with the restaurant. A copy will be presented to the Board for examination and approval.

  • Arrangements for Award bars are in progress.

Membership:

  • Club Directories: Club Directories were distributed at the meeting. Directories also will be made available at the March general membership meeting and the Awards banquet. Members are encouraged to pick up their copies to save mailing costs. Directories that are not picked up after the Awards luncheon will be mailed.

  • Downloadable Directories: Instead of printing a Directory for each member, making a directory file available on the Members Only page of the website for downloading and printing was suggested. A checkbox could be placed on the membership renewal form for requesting a printed copy. This year the printing cost for 75 copies of the Directory was $150 – $200, not including mailing costs. Having the Directory available for download would decrease the number of Directories printed by the Club. Directories could be printed in response to members’ requests, including a few extra copies for new members.

2020 Show:

  • Theme: The theme will be ‘Picnic in the Park.’

  • Approval: The American Kennel Club has approved the Show.

  • Park Contract: The contract will be signed soon. The Park rental fee was $8700 in 2019. The fee will be $7500 for 2020.

  • Newspaper: The deadline to reserve the printer’s time to print the Show newspaper is February 29. The newspaper enhances the Club’s visibility to the community and encourages the public’s attendance at the Show. To have a newspaper, members will have to sell ads. Because many ads will be repeats from 2019 they should be easy to sell. Lucille Perry and Mary Ward will prepare an announcement for the Secretary to send out to the membership soliciting volunteers to secure ads.

NEW BUSINESS

Frog O’Faire: Frog O’Faire is June 13, 2020.

Fun Match: It was suggested that the Club conduct a Conformation Fun Match in the early summer. The Match would be an opportunity to train Conformation Stewards, and 4-H members also could be encouraged to participate. RVKC could coordinate with Laura Reeves to schedule the Match shortly after Laura’s Handling seminar if she conducts one.

Brags and Cries were heard.

7:05 pm. Motion by Jim Ball to adjourn the meeting. Seconded by Colleen Douglas. Meeting adjourned.

Respectfully Submitted,
Cherie Ball
RVKC Secretary

Their fee for this service would be around $7,500. The Board decided to contract with MBF. There was discussion including what equipment RVKC has, and what we could borrow. The Club trailer will be inventoried and the possibility of borrowing from ASCA, the Saint Bernard Club, and Home Away From Home Pet Spa was discussed. 4-H kids will not be available for setup on Friday since they will be in school.

  • Show meeting is January 23, 2020 at 5:30 pm at Sybil Longinotti’s house.

OLD BUSINESS
2020 Membership Directory: The Directory is almost ready.

NEW BUSINESS
Awards:

Awards luncheon: Sybil Longinotti, Chairperson for the Awards luncheon, reported that the usual venue, the Grants Pass Golf Club, is now undesirable for our luncheon because it is undergoing many changes. The Taprock restaurant was selected as an alternative site. The Luncheon will be on March 29, 2020. Specific times will be announced. The prices will be similar to those charged by the Golf Club.

Awards & Application: The Awards application form will be sent to the members by email. Melanie Seepol and Mary Ward are collaborating on details. Kim Taylor will make any new cutouts needed.

Publicity and Public Education Committee: Laura Reeves is the Chairperson.

Programs: Shari Friebus, Programs Chairperson, has arranged for many programs for the year. One of the Programs will be an ice cream social. RVKC will provide the ice cream; members may bring toppings.

Scholarship and Donations: RVKC did not get well-qualified applicants for the Scholarship and the funds were not awarded in 2019. An RVKC member suggested previously that some of the Scholarship money might be used to help kids who are active in the local 4-H dog program, Pooch Paw Raiders, go to the State Fair. Motion by Shari Friebus to budget $1000 to help 4-H kids go to the State Fair in 2020 rather than offering a Scholarship. Funds not used for this purpose may be used to pay the 4-H group for their help at the Club’s September Show. Seconded by Lucille Perry and Melanie Seepol. Carried.

Handling Class: There have been varying numbers of attendees at each class. Laura Reeves is considering offering another 6-week Handler’s Clinic in the Spring.

General Meeting time: There was discussion regarding whether to continue starting the General meetings at 6:00 pm instead of reverting to a 7:00 pm start time during Daylight Saving Time. A vote was taken and the General meeting start time will be 6:00 pm until further notice.

Trial Temperament test: The members who are approved to conduct the AKC Temperament testing proposed to conduct a practice test for about 4 – 6 RVKC members’ dogs. No AKC application or titles would be available. Several members voiced interest in having their dogs go through the practice test.

Program: Paul Bodeving, AKC Delegate, gave an interesting report on the last Delegate meeting. He referred to the notes he had previously distributed to all members. The AKC Club Development department has material to put on the RVKC Club website.

Brags and Cries were heard.

7:26 pm. Meeting adjourned.
